This policy covers SandosPromo.com and applies across the Bowman Web Services LLC network of brands (including VacationClubPromo.com), which share systems and data as described below. One company — Bowman Web Services LLC, a Florida limited liability company — is the data controller for all network brands.
Contact details (name, email, phone, city/state/zip); trip details (resort, dates, party size); promotional qualification details required by resorts (ages, relationship status, occupation, approximate income); communications (emails, form submissions, recorded calls); and technical data (IP address, device type, pages visited).
We never see or store credit or debit card numbers. All payments are handled by third-party payment processors on their own secure systems; we receive only confirmation that payment occurred.
To qualify you for promotional packages, book and confirm reservations, prepare contracts, provide customer support, meet our Florida Seller of Travel record-keeping obligations, and — with your consent where required — send you relevant offers.
Our brands are one company sharing one reservation system. Information you provide to one network brand may be used by another network brand for booking, support, and (unless you opt out) relevant offers. We never sell your information.
We share information only as needed with: payment processors; e-signature (SignNow); telephone and call recording (Telnyx); email delivery (Fastmail, Brevo); our reservations database (Airtable); analytics and advertising (Google Analytics 4, Google Tag Manager, Microsoft Clarity); and video embeds (YouTube). Each provider receives only what it needs to perform its service.
We use Google Analytics 4 and Google Tag Manager for traffic analytics, Microsoft Clarity for session analytics (aggregate mouse-movement and scroll patterns), and conversion tracking for our advertising. You can manage cookies in your browser settings, and opt out via Google’s opt-out tools or Microsoft’s privacy controls.
Calls may be recorded, with disclosure at the start of the call. Recordings are retained with your booking records.
AI assistants may process call and form information to prepare booking summaries and answer questions. AI outputs are reviewed by humans before booking decisions are made.
Booking and contract records: a minimum of 3 years, per Florida Seller of Travel requirements. Recordings and inquiries that do not result in a booking: up to 3 years, then deleted.
You may request a copy, correction, or deletion of your personal data (subject to records we are required to keep by law) by emailing contact@sandospromo.com. We honor marketing opt-outs at any time. Our services are not directed to children under 18.
